Refund Policy

How refunds, cancellations, and commission unwinds work.

1. Plain-English summary

Three kinds of charges can appear on your Shopify invoice from CrawlWithAI:

  • A flat monthly subscription on Pro, Growth, and Network.
  • A commission percentage on every AI-attributed sale.
  • On Growth only: $0.50 USD per Sales AI conversation beyond the 500-per-month allowance.

All three are billed by Shopify, not by us.

  • Refund a Shopify order and the commission unwinds automatically. Nothing to do on your end.
  • Sales AI conversation overage is non-refundable once the shopper has had the conversation (the Claude cost is already incurred). To cap spend, upgrade to Network (no cap) or downgrade so the widget stops serving.
  • Subscription fees are non-refundable once the billing cycle starts, except where Shopify policy or applicable law says otherwise.
  • Charged in error (wrong attribution, wrong amount, etc.)? Email support@crawlwithai.com within 30 days and we will investigate.

2. Free plan

Free has no monthly fee and no trial. It is free indefinitely. The only charge on Free is the 10% commission on AI-attributed sales (see section 3). Uninstalling the app from your Shopify admin ends all future billing.

3. Commission refunds (all plans)

Every AI-attributed sale fires a usage record with Shopify for the commission amount. If you refund the order in Shopify:

  • Within minutes, Shopify sends our system a refunds/create webhook.
  • We file a negative usage record for the same amount on the same line item that received the original charge.
  • The credit reduces your next Shopify invoice. If the credit exceeds your invoice, Shopify carries it forward.

You do not need to email us. Refund the order in Shopify, the commission unwinds. Refunds are pro-rated: refund half the order and half the commission unwinds; refund the full order and all of it unwinds.

If a commission does not unwind correctly, email support@crawlwithai.com with the order number and we will reconcile within five business days.

4. Sales AI conversation overage (Growth only)

Growth includes 500 Sales AI conversations per calendar month. Each conversation past the 500th is billed at $0.50 USD via a Shopify usage record. The cap resets at the start of each calendar month (UTC).

How it appears on your invoice. One line per overage conversation, labelled "Sales AI conversation (over monthly plan limit)" at $0.50 USD. The charge fires when the conversation starts, not when it ends, so a long multi-turn conversation still costs $0.50.

What we refund.

  • Bot abuse or automated traffic. If your widget is hit by clearly automated traffic (scraping, brute-force) and overage charges appear, email support with the time range and we will reverse those charges. Our analytics dashboard helps spot abuse patterns.
  • Sandbox or your own testing. If you accidentally racked up overage while testing, email support with details and we will credit it.
  • Billed in error. If we double-billed or billed for a conversation that did not happen, we credit it.

What we do not refund. Real shopper conversations that exceed the included 500 are not refundable, even if you are unhappy with the bot's reply. The Claude cost was already incurred and the shopper got the service. If your monthly overage routinely passes ~$25, Network is usually cheaper.

Sales AI widget downtime credit. If the widget is unavailable for a sustained period due to a CrawlWithAI outage (not Shopify, not Anthropic) and you incurred overage that month, we credit the overage charges alongside any subscription credit under section 5.

5. Monthly subscription charges (Pro, Growth, Network)

Subscription fees of $99, $149, or $199 USD per month are charged in advance by Shopify each billing cycle. They are non-refundable for the cycle in which they were charged. If you cancel mid-cycle by uninstalling, Shopify may pro-rate per their billing rules; that pro-ration is governed by Shopify, not by us.

We issue a credit in four cases:

  • Billed in error. If you were charged a tier you did not pick, or charged after uninstalling, email support and we refund in full.
  • Material service failure. If a feature you paid for was unavailable for a sustained period and we failed to restore it within a reasonable time after you reported it, we issue a partial or full credit at our discretion.
  • Local law requires it. Where consumer-protection law in your jurisdiction requires a refund (for example, certain EEA cooling-off periods that apply to B2B SaaS), we comply.
  • Shopify App Store policy requires it. Where Shopify directs a refund as part of dispute resolution, we follow Shopify's instruction.

To request a credit, email support@crawlwithai.com within 30 days of the charge.

6. Billing disputes

If you believe any charge on your Shopify invoice from CrawlWithAI is incorrect:

  1. Email support@crawlwithai.com within 30 days of the invoice date with the invoice number and what looks wrong.
  2. We acknowledge within two business days and investigate within five.
  3. If we agree, we credit your next Shopify invoice. If we disagree, we explain why in writing.
  4. If you remain unsatisfied, the governing-law and dispute-resolution clauses in the Terms of Use apply.

7. How to cancel

Uninstall the app from your Shopify admin at any time:

  1. Shopify admin, then Apps.
  2. Find CrawlWithAI, click the ... menu, choose Uninstall.

On uninstall:

  • Any active CrawlWithAI subscription is cancelled by Shopify.
  • Commission already accrued on AI-attributed orders within the cycle remains billable. Refunding those orders in Shopify unwinds the commission (see section 3).
  • Within 48 hours, Shopify sends us a shop/redact webhook. On receipt we permanently delete all data tied to your shop.

To delete your data before the 48-hour window, email support@crawlwithai.com.
